Session Terms & Conditions

Jan 4, 2021

Yes, we know it's not the most exciting thing, but it's important nonetheless!

For those undertaking sessions with us, we have our Terms & Conditions set out for you, so that everyone has clear and fair expectation of our Mentors and our work. By continuing with Mentoring, you are acknowledging and agreeing to the terms set out here.

Our Mentoring is aimed at children (over the age of 8 years old), young people and vulnerable adults. Arthur Ellis Therapeutic Mentoring provides practical and emotional support which facilitates competence in self-management of a mental health difficulty or other condition(s) that hinder well-being.

Though our Mentors are skilled and qualified, with their qualifications being recognised by, for example, the British Psychological Society and the British Association of Counsellors and Psychotherapists, our Mentoring is not clinical and therefore does not replace and professional intervention you may receive for specialist interventions; help with Eating Disorders, EMDR, Schizophrenia etc.

Please note: we do not tolerate any negative behaviour directed towards any members of staff. We appreciate that we support vulnerable people with a variety of needs, but if any conduct is deemed to be abusive this may impact us being able to support you.

The Sessions

Mentoring sessions are held weekly, fortnightly or monthly (this is client-dependent); the time between sessions enables you to reflect and decompress after each appointment. We reserve the right to amend session times if booked otherwise and we try to keep the session day and time as consistent as possible. Sessions are up to 45 minutes and held online. If you don’t feel comfortable online there are lots of ways that we can adapt the sessions for you - please get in touch to find out more.

Our Mentors work independently and are not call-centre based; no one will be listening in to your sessions. We also encourage you to find a safe space where you feel you can talk freely. Sometimes, parents will accompany very young children to sessions if it makes them feel more comfortable. No recording is permitted by either party during the sessions.

Please do not attend sessions if you are under the influence of alcohol or illegal substances.

You may get homework, tools, tips and tasks to try out in between your sessions. Please bear this in mind to make sure you keep time aside throughout the week, so you have plenty of time to implement the strategies. If you need help in-between sessions, check out these resources:

What to do in Crisis

Please try your best to attend all scheduled appointments. Our Mentors all work hours that suit their own schedule, so rebooking on different days, at different times, is not always possible.

Please try to give 48 hours' notice for any cancellations. Sessions cancelled inside this window may be lost. If a session is missed, without notice, this is classed as a "No Show". If there are two No Shows in a row, you may be withdrawn from the service. Please ensure you let us know if you can't attend your sessions - this way we can make sure you're okay.

Confidentiality

Any of your personal information we hold, as well as information shared with your Mentor is kept confidential and in line with the Data Protection Act 2018 and GDPR 2018. Should you disclose information to your Mentor and/or any member of Arthur Ellis that suggests you are at risk of harm (physical, mental, or emotional) and/or someone else is at risk of harm, then that information will be shared with the appropriate person(s) and/or agencies to keep everyone safe. This is a legal obligation we hold.

By interacting with Arthur Ellis, you are giving us consent to store your data. When clients reach out to us, their names and email addresses (other methods of contact also apply), is automatically held in our secure database. We hold this for a minimum of 6 years, as advised by the BACP, and our Privacy Policy applies to this data. You also consent for us to hold this data if you are referred to the Company via a third party; for example, if you are referred to AEMHF via your GP, you are giving passive consent for AEMHF to hold your information. Your referrer will not have access to your sessions notes - these are always strictly confidential unless demanded by a court of law or legal summons, or if some information is required to assist with us keeping to our safeguarding policies - however your referrer will have access to tour Check Out document with us. This Check Out document only ever consists of your short and long-term goals, and strategies that have worked for you. This will help your referrer encourage these positive behaviours established with us, even when sessions are over. You can opt-out of this if desired.

What We Expect from Our Mentors

Our Mentors are trained in helping you to open up and also accept that this can take time; we don't expect you to be ready to tell us everything on day one. We are committed to working with you, ensuring your comfortability and trust grows from session to session. In addition to this, there are also a number of formal processes we follow with onboarding our Mentors:

  • We ensure that formal Safer Recruitment processes are followed, and Mentors are fully vetted for their experience, qualifications and skills,

  • Mentors hold an up-to-date Enhanced DBS check,

  • Safeguarding and Prevent training up to Level 2 (as a minimum) is completed,

  • Mentors are trained to adhere to Arthur Ellis policies to apply best practice,

  • Mentors conduct themselves in a professional and appropriate manner,

  • Our team will respect your confidentiality in accordance with Arthur Ellis policies.

Payments

If payment(s) for sessions are not made or maintained, we do reserve the right to cancel all remaining sessions until they are settled. Please let us know if you need to talk about this further.

Payments to our charity are not refunded, but banked for future sessions with us.

Don't forget, we are a registered charity and it's probably of no surprise to you that since the pandemic, those accessing our services has increased by 806%, and this figure continues to rise. Any donation, big or small, helps to bring us one step closer to achieving our mission - to support the estimated 1.7 million people across the UK who struggle to access mental health care, without long waits or high thresholds.

If you can, you can donate or fundraise for us as an individual or a group, whether this is a fun run or a CSR project at work. Or, scan the QR code below. Maintaining our service is only possible with people like you!
